AI Governance Record
An AI Governance Record is a durable record of a material governance event, review, decision, ownership action, lifecycle action or other relevant governance activity associated with an AI Object.
Executive Summary
AI Governance Records preserve the history and context of material governance activity. They help an organization understand what happened, which AI Object was affected, who performed or authorized the relevant action, when it occurred and what outcome or follow-up was recorded.
An AI Inventory describes what AI exists and its current structured state. An AI Governance Record preserves durable history about governance activity connected to that AI Object. The broader phrase AI Records may be used for a body of such records, but “AI Governance Record” is the canonical concept for an individual record.
Why AI Governance Records matter
Enterprise AI changes over time. Ownership can be reassigned, reviews can produce conditions, exceptions can be opened or closed and an AI Object can move through lifecycle stages. If only the current state is retained, the reasoning and sequence behind that state can disappear.
A durable governance record supports operational continuity. It gives future reviewers and accountable principals a reliable history of material activity created through ongoing governance work, without turning every system event or technical log entry into a governance artifact.
What a governance record can contain
The content should be proportionate to the material governance activity. Depending on the event, a record can identify:
- the AI Object and governance activity concerned;
- the date, status and organizational principals involved;
- the review, decision, ownership action or lifecycle action recorded;
- relevant conditions, exceptions, references or follow-up actions; and
- the relationship to prior or subsequent governance records where continuity matters.
Not every stored record is a governance record
A database row is not automatically an AI Governance Record. It becomes governance-relevant when it durably represents a material governance activity with sufficient context to be understood and maintained.
A backup preserves recoverable system data, but it does not by itself create a governed history. A registry identifies or organizes entries, but registry membership alone does not record a review, decision or lifecycle action. Likewise, an inventory record primarily represents current structured state rather than the complete history of governance activity.
Records, evidence and assurance
A Governance Record can contribute evidence for internal review, operational continuity or later assessment. Its existence alone does not certify the AI Object, establish legal proof, demonstrate regulatory conformity or guarantee acceptance by an auditor or other reviewer.
The value of a record depends on its relevance, integrity, context and connection to the organization’s AI Governance process. The canonical emphasis is the durable record of governance activity, not a generalized claim of proof.
